System Permissions Overview

System Permissions

  • crmEverybody - Everyone must have a basic right where they are supposed to be able to work with the module's objects and functions
  • crmAdmin - Administrator's right gives the ability to create new directories and manage the module's configuration
  • SalesPersonnel - Trader has the right to work with price lists and menus. Without this right, both are unavailable. Note: People with crmEverybody rights can see the orders. This is done deliberately, because those who process them also need to see the orders.
  • ContractReader - Right to see contracts

Area / Directory Permissions

System rights are combined with area or directory rights. For example, if a worker has the right to see contracts, but the contracts are stored in an area for which they have no rights, they cannot see the contracts.

Settings in CRM

Settings for directories

The directory itself does not require more than the user administration (described above). However, it is useful to set the values of the user dials for full use - this can be done by the administrator in System Settings (see Dialog Settings ). The important ones are the dials:

  • Salutation
  • Contact life cycle for individual contact types
  • Contact group type

In addition, you can use other dials for user types and flags. If you need additional values or flags, new fields for them are possible – see adding custom fields.

Settings for bulk messages

If you want to send bulk messages, you need to connect an email address that serves the marketing process. About setting up email is written here.
About setting the footer and how the recipient of the message can refuse consent is written on bulk message pages and sub-pages.

Settings for managing contracts

For managing contracts, it is especially important to set up good areas so that stored contracts can be broken down by those who really need them.

To manage contracts, you also have the option to set up custom dials that allow the contract to be categorised and manage its workflow:

  • Life cycle states
  • Contract / Contract user type
  • User flags

Recommendation:

  • Consider creating an archive area for older inactive contracts. This will ensure that even workers who can work with contracts in general will not know about old contracts. This will increase the protection of valuable information about supplier relationships.
  • A common solution is also to create subareas for individual years – then it is possible to define the rights for each year separately. However, this method is more laborious and mainly requires regular checks
