Message with the outside world

Messages with the outside world generally document any type of communication – emails, text messages, phone calls.

Messages is a slightly simplified term describing communication in general. In addition to messages, this can include face-to-face meetings and teleconferences.

As part of the communication log, the system documents all communication through the gateways it can monitor. The extent of the information therefore depends mainly on whether you communicate with clients through the system or outside of it.

Documented messages

The system supports documentation

Other message types can be entered manually, specifically

  • Incoming and outgoing mail
  • Meetings and teleconferences

Of course, it is also possible to enter information about communications made outside the system.

Connecting to the world

All messages go out via communication gateway settings, for which you can find more details.

Advantages of processing messages in AyMINE

AyMINE provides a number of advantages over an email client, related to its focus on teamwork

Emails are accompanied by information about their processing. For example, they are automatically linked to orders, so you know immediately if they are being processed. You can link them to any other information, typically:

  • Requests in a project
  • Helpdesk by ticket
  • Task

There is space for notes and discussion for messages, so as part of the joint processing, you can solve the email without forwarding it.

Email can be inserted into the meeting as a basis for negotiation. As part of the meeting, it forms a point of negotiation along with tasks, for example.

Protecting private emails

In AyMINE, you can even have 100% private messages that no one else sees. When messages come from your personal inbox through a gateway that is private, so until you share the message with someone, no one can get to it. However, you can easily share it by

  • moving it to a shared area, or
  • forwarding it to someone for resolution
Unlike forwarding emails, however, even after forwarding, you can monitor whether the email is actually resolved.
