Digital Personnel Archive

Digital Personal Folders Archive

AyMINE will provide you with a digital personnel documentation archive. This way, you can have everything stored properly and in full compliance with the GDPR.

Obligation to archive personnel folders

The organization is required to archive personnel data for up to 30 years. The volume of such data - if it is in paper form - is large. With AyMINE, you can save a lot of space, increase security

Personal data protection

The obligation to protect personnel personal data applies to both current employees and those who have already left the company. A digital archive should never be available to a wider circle of people - not to all personnel - and certainly not to the companies that take care of your IT.

How to ensure personnel archive security

Archived personnel files are available exclusively on a special access right. The right is set independently of other personnel rights (but the employee must be a personnel officer). This ensures that recruiters cannot trace or extract any information about former workers from the company.

Information about workers who left more than 1 year ago cannot be traced from the regular data, but it is necessary to open the archived data. Access to the archive is recorded and, depending on the settings, it may also be required that the recruiter indicate the reason why he or she is accessing the archive.

Protection against data loss

The entire digital archive is archived regularly and its contents are stored in off-line backups. This ensures that no major attack will interfere with the fulfilment of the documentation obligation.
